Do you have a question or complaint about your privacy?

If you have questions or a complaint about the processing of your personal data, we ask you to contact us directly via privacy@integron.nl.

We will do everything we can to help you the best way possible. Yet it may happen that you are not satisfied with the handling of your question or complaint. In that case it is possible to submit your question or complaint to the Dutch Data Protection Authority.

How long we store personal data

We do not store your personal data longer than strictly necessary to realise the purposes of your data collection. Your data will not be stored for more than 26 months. You can remove cookies via the browser settings at any time. To remove the cookies from your browser, we have provided links to four popular browsers below:

Specific information for participants (respondents) in a survey:

If a commissioned survey has been carried out, we will return the collected personal data to the client upon written request and destroy the copies made, unless the client disputes the services and / or (personal) data provided. Copies that are part of the backup routine will be removed by us as soon as possible. 2 months after the tasks conferred have been completed, we will signal the client that the data will be destroyed in, unless the client wishes the data to be retained.

If you provide explicit permission for feedback of your answers to the questionnaire by name, a retention period of 24 months applies. After 22 months the Processor shall notify the Controller that the data will be destroyed after 2 months, unless the Controller wants such data to be retained.

Processed personal data (Dashboard & App)

This section of the privacy statement applies to the processing of personal data of users who log in to the dashboard and/or the app on behalf of a client.

Processing personal data

We organize these investigations for companies and organizations that want to gain insight into the experiences of customers and/or employees with the aim of improving the relationship. In order to give you access to the results through the dashboard and/or the app, it is necessary to create an account for you. In doing this, we process personal data. This may involve the following data:

• Your first and last name
• Your (business) email address
• Your company name and its NAW (Name, Address, City) details
• Your job title
• Your department
• Your years of service
• Size of your company
• Your business contact person (from the client)

Your data will not be linked to your personal results. Your personal data will not be used for purposes other than those mentioned below.

Purpose of processing personal data

Your personal data may be processed for the following purposes:

• To be able to contact you for access to the dashboard and/or the app.
• To carry out analyses regarding your use of the dashboard and/or the app.

Your personal data will not be used for purposes other than those mentioned above.

Data processing in the Netherlands and abroad

Your personal data will be stored and processed in the Netherlands or in countries for which this is permitted under Dutch law.

Processors

If we make use of the services of third parties for the purposes mentioned in this privacy statement and these third parties have access to your personal data when performing the relevant services, we have taken the necessary contractual and organisational measures to ensure that your data is exclusively used for the purposes mentioned above.

Processed personal data (websites)

We may process your personal data because you use our services and / or because you provide us with your personal data when you fill out a form on our websites. We may process the following personal data:

• Your first and last name
• Your job title
• Your gender
• Your department
• Your address details
• Your phone number
• Your email address
• Your IP address
• Your company name and address
• Information about your location, device, browser settings, and browsing behaviour

Why Integron B.V. needs data

Execution of an agreement

We may use your personal data as part of carrying out an agreement concluded with you.

Contacting you after a contact request.

We may process your personal data to contact you by phone when requested, and / or by (e)mail when we are not able to reach you by phone.

Newsletter

To send a personal newsletter we need your email address and full name. This information is only used for sending the newsletter unless otherwise stated in the form. You can unsubscribe at any time by using the link in each newsletter.

Optimising, improving and securing the Integron websites

We process general visitor data on our websites. These include the IP address of your computer/device, the usage time and the data send by your browser. This data is used for analysing visitor and clicking behaviour on our websites, the security of our websites and for the proper functioning of the websites including the plug-ins and web applications. We use this information to optimise, improve, and secure the usability of the websites. We may share this information with third parties or third-party applications such as Google Analytics. See section ‘Sharing personal data with third parties’.

Sharing personal data with third parties

We only provide your personal data to third parties if this is necessary for the execution of an agreement with you, to comply with a legal obligation, or to optimise, improve, and secure the operation of our websites. We will carefully handle this information and conclude a processing agreement with third parties. Personal data can also be shared with third parties when we use tracking cookies. These will only be used for our own marketing purposes and will not be shared with / or sold to third parties. Above you will find more information about how we can use it and how you give us permission.

Personal data that may be processed (respondents).

This section of the privacy statement applies to the processing of personal data of respondents contacted by us on behalf of a client (either employer or as a client of the commissioning organization).

Processing personal data

As a respondent, you participate in surveys. We organize these surveys for companies and organizations that want to gain insight into your perception and experiences with the aim of improving the relationship. We do this through online questionnaires, written questionnaires, telephone interviews or one-on-one interviews. In doing so, we process personal data. This may include the following data:

• Your first and last name
• Your gender
• Your date of birth
• Your (business) phone number
• Your (business) email address
• Your address information
• Your company name and its name and address information
• Your job title
• Your department
• Your years of service
• Size of your business
• Your business contact (from the client)
• Answers to questions from the surveys you participate in

Your data will not be linked to your personal results. You therefore participate in our surveys anonymously, unless you expressly consent to your results being linked back by name. Only in that case will your data be linked to your personal results.

Processing purpose personal data

Your personal data may be processed for the following purposes:

• Conducting customer and employee surveys
• Analyzing and reporting research results
• Improving our services
• Complying with legal obligations

Your personal data will not be used for purposes other than those listed above.

Legal basis for processing

We process your personal data only on one of the following bases:

• Your consent
• The performance of an agreement
• Meeting legal obligations
• Our legitimate interest, such as for research purposes and improving our services

Sharing of personal data

We use third parties (sub-processors) to make our services possible. These include IT service providers, hosting partners and call centers or printers. Where these parties have access to personal data, we have entered into processor agreements to ensure that your data is protected in accordance with the AVG.

Data outside the EU/EEA

Your personal data will be stored and processed in the Netherlands or in countries for which this is permitted under Dutch law.

We do not process data outside the EU/EEA.

Retention period

We do not retain your personal data longer than necessary for the purposes for which it was collected. The retention period may vary for each study and is coordinated with our clients.

Your rights

You have the following rights regarding your personal data:

• Right to inspect, correct or delete
• Right to object to processing
• Right to transferability of your data
• Right to withdraw your consent

Data security

We take appropriate technical and organizational measures to protect your personal data from loss, misuse or unauthorized access. Our systems and processes are designed accordingly and are regularly audited. Integron is ISO27001:2023 certified.

Integron reserves the right to change this privacy statement. We encourage you to periodically review this statement for the most current information on our privacy practices.
